Secure Your iManage Environment

Dedicated protection for your iManage data.

The Version Overwrite Trap

iManage's redundancy protects their servers, not your work product. If a document version is checked in over the wrong file, or a matter workspace is deleted, that change replicates everywhere instantly. FileScience is your only rewind button.

Defeat the Trash Retention Limit

The iManage trash is a temporary catch-all, not an archive. Purged documents and workspaces are permanently removed after the retention window closes. We offer indefinite retention, protecting you from "silent data loss" that is often discovered months too late.

Surviving Employee Turnover

When you deactivate a user's iManage account, their checked-out documents, worklists, and matter context are often stranded. FileScience preserves a user's document and email history independently of their active license, ensuring institutional memory survives every staff transition.

    FAQ

    Frequently asked questions

    Questions? Find your answers here.

Doesn't iManage Cloud already protect my data?

The iManage Cloud is world-class infrastructure. Geo-redundant data centers protect iManage from hardware failures and natural disasters. However, these mechanisms do not protect you from the following:

    • If a user deletes a document or an entire matter workspace, iManage Work faithfully replicates that deletion — the platform treats it as an authorized action, not a disaster to be mitigated.
    • If someone checks in a bad edit or saves over the wrong version, that becomes the latest version of your work product.
    • If your firm's environment is locked, compromised, or mid-migration, the platform being online doesn't help you get to your documents.

iManage is a work product management platform, not a long-term backup archive. An independent backup is a core part of a defensible information governance strategy.

Why do I need a separate backup for iManage Work?

There is a common misconception that cloud security equals data protection. iManage is responsible for keeping the lights on and the servers running. However, under the shared responsibility model, you are responsible for the work product inside. If a document is deleted, a version is overwritten, or a workspace is restructured incorrectly at the user level, iManage Work propagates that change. A separate, air-gapped backup is the only way to undo human or localized mistakes.

What happens if a user deletes a workspace, folder, or document version?

Because our backup is autonomous, the deletion in iManage Work has no effect on your FileScience storage. Your workspace structure, folder hierarchy, document version history, and profile metadata remain intact and isolated from the error — down to individual versions of a single document.

Are emails filed to my matter workspaces backed up too?

Yes. Email filing is central to how firms use iManage Work, so FileScience captures filed emails right alongside your documents. Correspondence filed to a matter workspace is preserved with its workspace context, ensuring the complete matter record — documents, versions, and communications — is recoverable as one.

Is my data encrypted, and where is it stored?

Your data is encrypted in-transit via TLS 1.3 and at-rest using AES-256.

We understand that for many firms, where your data lives is a matter of legal or regulatory requirement. FileScience offers flexible data residency:

    • Standard: Northern Virginia, USA
    • Enterprise: Storage can be provisioned in specific geographic regions upon request to meet legal, regulatory, or client-mandated compliance needs

What happens to my data if I decide to leave iManage?

DMS migrations are notoriously high-risk: when you move off iManage Work, your access to the platform eventually expires, and extracting complete workspaces with version history and filed emails intact is a major project. Because FileScience is an air-gapped solution, your work product remains safely stored and accessible in your account regardless of your status with iManage — a clean, structured copy you can take anywhere.

Can I delete my iManage backups?

Yes, but only the designated FileScience organization owner can initiate a deletion request. Once the request is processed your data will be purged from our servers.
